1. OVERVIEW

1.1 At HomeTeamNS (“HomeTeamNS”, “we”, or “us”), your privacy is important to us, and we are committed to protecting your Personal Data. We aim to be open and transparent in communicating to you our data protection practices.
1.2 This HomeTeamNS Recruitment Privacy Notice (“Privacy Notice”) describes how we collect, use, disclose, retain and protect your Personal Data in our recruitment processes, and it applies to job applicants, prospective employees, users of our careers or external recruitment website, and all other individuals who are involved in our recruitment processes (collectively referred to as “you”, “your” or “yours”).
1.3 This Privacy Notice supplements, but does not supersede or replace, any other notices, contracts, or consents you may have previously provided to us in respect of information that you provide to us.
1.4 “Personal Data” is any information which can be used to identify you or from which you are identifiable. This includes but is not limited to your name, nationality, telephone number, salary details, personal interests, email address, your image, government-issued identification numbers and date of birth.
1.5 We typically collect, use, disclose or otherwise process your Personal Data in accordance with this Privacy Notice:
- – with your consent;
- – where it is required for us to comply with legal requirements;
- – where it is required for us to enter into or perform a contract with you; and/or
- – for our legitimate interests or the legitimate interests of any other persons, including but not limited to for the purposes set forth in this Privacy Notice.

2. COLLECTION OF PERSONAL DATA

We may collect and process your Personal Data in the instances listed below:
2.1 You provide your Personal Data to us
We collect your Personal Data when you provide it to us. For example, when you:
- – apply for a job opening via our career site, external job portals, in person at interviews and/or events or via any other channels;
  - – this may include Personal Data such as name, email address, correspondence or home address, phone number, educational background, your employment history, prior job applications, skills and experience, current or desired salary, terms relating to compensation packages and other job preferences that may constitute Personal Data, as you may provide to us;
- – agree to proceed through our recruitment process;
  - – this may include any Personal Data that we obtain about you through interviews, phone screenings and/or assessments;
- – accept a job offer with us;
  - – this may include any Personal Data that we obtain about you through background screenings, compiling and investigating your employment history, criminal records and financial records as permitted by applicable laws (whether by us or third-party service providers that we utilize to facilitate and enhance our recruitment processes (“Third-Party Service Providers”);
- – visit our career site (such as your traffic data, location data, weblogs and other related data);
- – contact us or enquire about your job applications and/or the status or progress of your job application. When you provide the Personal Data of other individuals to us, you represent and warrant that you have notified and sought the consent of these individuals that their Personal Data will be disclosed to us and may be processed for the relevant Purposes. This may include any persons whose Personal Data you choose to furnish to us (such as your referees, emergency contacts, next-of-kin, spouse or any other family members).

2.2 From other sources
We may also collect your Personal Data from other sources. Such sources include:
– HomeTeamNS employees who recommend or refer you as a candidate for a specific job opening;
– Third-Party Service Providers (e.g. recruitment partners who recommend you as a candidate for a specific job opening);
– Academic institutions (e.g. universities, colleges), previous employers and your referees in validating information that you have provided; and
– Other publicly available sources such as LinkedIn or other social media platforms.

3. ACCURACY OF PERSONAL DATA

3.1 We will make reasonable efforts to ensure that the Personal Data collected by or on behalf of HomeTeamNS is accurate and complete, if the Personal Data is likely to be used by us to make a decision that affects you (e.g., a hiring decision), or if the Personal Data is likely to be disclosed to another organisation. To assist us in fulfilling this obligation, you are responsible for ensuring that all Personal Data you submit to us is accurate, complete, and up-to-date.

4. USE OF PERSONAL DATA

4.1 HomeTeamNS may use your Personal Data for the following purposes set out below (“Purposes”):

– Assessing your application and evaluating your skills, qualifications, interests and/or suitability for employment with HomeTeamNS;
– Communicating with you about the recruitment process and your application(s);
– Verifying your identity and the accuracy of information provided, carrying out reference checks and conducting background checks (where applicable);
– Carrying out our obligations arising from any contracts entered into between HomeTeamNS and third parties in relation to your recruitment;
– Protecting the rights and property of HomeTeamNS, our users, job applicants and candidates or the public as required or permitted by law;
– Carrying out administrative and human resources related processes within HomeTeamNS (such as to grant you access to HomeTeamNS’s resources as a prospective employee or processing any claims or complaints);
– Detecting, preventing or otherwise addressing fraud, security or technical issues;
– Seeking any professional advice (including but not limited to legal advice) in connection with any matter involving HomeTeamNS and/or you; and
– For legal purposes, such as to facilitating our compliance with any laws, regulations, guidelines, customs, legal processes, governmental requests or court orders.

5. DISCLOSURE OF PERSONAL DATA

5.1 In the course of processing your application, we may need to share Personal Data with various parties for the Purposes. These parties include:
– Third-Party Service Providers (to facilitate the recruitment, background checks and employment processes); and
– Legal advisors, law enforcement officials, governmental authorities or other related third parties (for compliance with any legal obligations). If we do so, we will only share Personal Data that is reasonably necessary for the Purposes.
5.2 In certain situations, while applying for a job position with HomeTeamNS, your Personal Data may be collected directly by Third-Party Service Providers in their capacity as an independent data controller (i.e. they do not process Personal Data for and on behalf of HomeTeamNS in accordance with HomeTeamNS’s instructions, but determine their own purposes in processing your Personal Data). You acknowledge and understand that such Third-Party Service Providers will process your Personal Data in accordance with their own policies and procedures and you should refer to their privacy notices and/or contact them to exercise any rights you may have in relation to your Personal Data that is in their possession.

6. TRANSFER OF YOUR PERSONAL DATA

6.1 We do not transfer your personal data overseas. Should we need to transfer some of your Personal Data outside of Singapore, we will obtain your consent for the transfer and will take reasonable steps for the personal data to receive a standard of protection that is at least comparable to that provided under the Singapore PDPA 2012.

7. RETENTION AND DELETION OF PERSONAL DATA

7.1 We retain your Personal Data for the period necessary to fulfil the Purposes outlined in this Privacy Notice unless a longer retention period is required or allowed by law. Once your Personal Data is no longer necessary for the Purposes, or we no longer have a legal or business purpose for retaining your Personal Data, we take steps to erase, destroy, anonymise or prevent access or use of such Personal Data for any purpose other than compliance with this Privacy Notice, or for purposes of safety, security, fraud prevention and detection, in accordance with the requirements of applicable laws.

8. PROTECTION OF PERSONAL DATA

8.1 We will take reasonable legal, organisational and technical measures to ensure that your Personal Data is protected. This includes measures to prevent Personal Data from getting lost or used or accessed in an unauthorised way. We limit access to your Personal Data to our employees on a need-to-know basis. Those processing your Personal Data will only do so in an authorised manner and are required to treat your information with confidentiality.
8.2 Nevertheless, please understand that the transmission of information via the internet is not completely secure. Although we will do our best to protect your Personal Data, we cannot guarantee the security of your Personal Data transmitted through any online means, therefore, any transmission remains at your own risk.

9. YOUR RIGHTS WITH RESPECT TO YOUR PERSONAL DATA

9.1 In accordance with applicable laws and regulations, you may be entitled to:

– inquire about the processing of your Personal Data and be provided with a copy of it;
– in some cases, request the correction of your Personal Data;
– withdraw your consent to the processing of your Personal Data (where we are processing your Personal Data based on your consent); and
– request receipt or transmission to another organisation, in a machine-readable form, of the Personal Data that you have provided to us where we are using your Personal Data based on consent or performance of a contract.

9.2 If you choose to withdraw your consent to us processing your Personal Data, we will respect that choice in accordance with our legal obligations. However, please note that we may not be able to continue considering your application or to continue with the recruitment processes. Do note that we may be able to continue to process your Personal Data to the extent required or otherwise permitted by applicable laws and regulations.
9.3 We will screen and verify all requests beforehand. In order to verify your identity and/or authority to make the request, we may require you to provide supporting information. Once verified, we will give effect to your request within the timelines prescribed by applicable laws.

10. AMENDMENTS AND UPDATES

10.1 HomeTeamNS may modify, update or amend the terms in this Privacy Notice from time to time. The updated version will be posted on the website https://www.hometeamns.sg/careers/. You are encouraged to review the Privacy Notice regularly. By continuing to engage with our recruitment staff or applying to our job openings, following the effective date of the modifications, updates or amendments to this Privacy Notice, you agree to be bound by such amendments.
