HomeTeamNS Data Protection Policy

1. Introduction

  • 1.1 At HomeTeamNS (“HomeTeamNS”, “we”, or “us”), your privacy is important to us, and we are committed to protecting your Personal Data. We aim to be open and transparent in communicating to you our data protection practices.
  • 1.2 The HomeTeamNS Data Privacy Policy (this “Policy”) aims to help you understand how we collect, use, disclose, retain and protect your Personal Data. This Policy supplements, but does not supersede or replace, any other notices, contracts, or consents you may have previously provided to us in respect of your Personal Data.
  • 1.3 This Policy may be amended or modified from time to time, for example, to reflect changes in legislation.

2. Definitions

  • 2.1 For the purposes of this Policy, in line with the provisions under the Singapore Personal Data Protection Act 2012, as amended from time to time (the “PDPA”), the following definitions shall apply:
  • 2.2 Personal Data” shall mean data, whether true or not, about an individual who can be identified — from that data; or from that data and other information which an organization has or is likely to have access. Such Personal Data shall also refer to that which is already in our possession or that which may be collected by us in future.
  • 2.3 “Process” or “Processing” means an operation or set of operations which is performed on Personal Data, whether by automatic means, such as collection, recording, storage, alteration, retrieval, disclosure, erasure or destruction.

3. Consent

  • 3.1 By accessing or visiting our website, registering for an account on our website or application, signing up for or participating in events that we organise, or otherwise using or accessing our services (including the purposes set out below), you acknowledge and agree to our data protection practices as out in this Policy.
  • 3.2 If you do not consent to the collection, use, disclosure or Processing of your Personal Data as outlined in this Policy, please do not use our services, or visit or access our website or application. You may withdraw your consent to the Processing of your Personal Data by HomeTeamNS at any time in the manner set out below, but please note that we may not be able to continue to provide the products and/or services requested by you.
  • 3.3 The consents you provide under this Policy are in addition to any rights which we may have under applicable laws and regulations to collect, use or disclose or otherwise Process your Personal Data. To avoid doubt, where applicable laws or regulations permit an organization such as ours to collect, use, or disclose your Personal Data on grounds other than consent, such permissions shall continue to apply.
  • 3.4 By consenting to this Policy, you represent that you are 18 years of age or older. We require verifiable parental/legal guardian consent for users below the age of 18 before collecting, using, or disclosing their Personal Data. If you disclose to us Personal Data of a child under the age of 18 under your care, you acknowledge and agree to our data protection practices as out in this Policy on the child’s behalf and you agree to us processing such Personal Data.
  • 3.5 Where you provide Personal Data to us about any other individual (e.g., a family member or child), you represent that you have the valid authorisation and consent to do so, and you shall ensure that the other individual(s) understand and have consented to this Policy.

4. Collection of Your Personal Data

We may collect your Personal Data through the following ways:

  • 4.1 When you you register for an account on the HomeTeamNS website or application, sign up for our services, events, products, contests, promotions, memberships, including when you make purchases on the HomeTeamNS website or application.
  • 4.2 When you visit or access our website or application.
  • 4.3 When you patronise our clubhouse premises, attend our events, or enter our premises.
  • 4.4 If you are a vendor or service provider, when you enter our premises or facilities to provide services.
  • 4.5 When you sign up to be included in our mailing list for our events, products, services, contests, promotions or newsletters.
  • 4.6 When you join us as a volunteer.
  • 4.7 When you request that we contact you to respond to your enquiries, complaints or customer feedback.
  • 4.8 When various third parties, such as your family members, our affiliates and/or any entities/parties that you have authorised to disclose information to us.
  • 4.9 When you submit your personal data for any other purpose, which will be specified in the data protection notice provided to you during the collection of the data.

5. Purposes of Processing Your Personal Data

Generally, we process your Personal Data for the following purposes:

  • 5.1 To manage your membership-related matters, such as providing you with your HomeTeamNS membership account, membership benefits and services.
  • 5.2 To verify your membership details and status.
  • 5.3 To manage your facility bookings, event or course participation.
  • 5.4 To assist you with your enquiries, handling of feedback and requests.
  • 5.5 To process payments and refunds.
  • 5.6 To conduct research, surveys and interviews for product and services enhancement.
  • 5.7 To keep you updated of our latest initiatives, events and benefits.
  • 5.8 To conduct surveillance and manage the safety of our users and security in and around our premises (CCTV).
  • 5.9 To conduct audio/video recording and photography during our events, in our facilities/clubhouses for purposes of records, education, promotion or advertising and marketing purposes.
  • 5.10 If you are a volunteer with us, to manage your status as a volunteer, provide you with volunteer benefits and provide you with services.
  • 5.11 To comply with any applicable rules, laws and regulations, codes of practice or guidelines or assist in law enforcement and investigations by relevant authorities.

6. Personal Data We Collect

The information that we collect about you includes but is not limited to:

  • 6.1 Contact details such as name, email address and handphone number.
  • 6.2 Additional information needed to set up a membership account such as address, date of birth, identification numbers such as NRIC or driving license number, vehicle registration number, interests and preferences.
  • 6.3 Payment information such as bank details, credit card details, transaction information, order IDs, date and time of transactions.
  • 6.4 Photographs, audio and video recordings.
  • 6.5 CCTV recordings for safety and security.
  • 6.6 Personal details of next-of-kin and/or family members.
  • 6.7 Device information, website access data and/or application use data.
  • 6.8 Applicable health declarations or health-related information.
  • 6.9 Any other data which we inform you prior to the collection of such data.

7. Marketing Purposes

  • 7.1 With your consent, we may reach out to you via mail, electronic mail, telephone (call, WhatsApp messages or SMS), or the HomeTeamNS Mobile Application, to inform you about the latest clubhouse events and promotions, membership benefits, initiatives and activities that may be of interest to you.
  • 7.2 You can unsubscribe from our mailing list or update your communication preferences at any time on the HomeTeamNS Mobile Application or HomeTeamNS Members Portal.

8. Cookies

  • 8.1 We or third parties authorized by us may from time to time deploy cookies or such similar technologies to allow us or the third parties authorized by us to collect and/or store information in connection with your use of the services, websites and/or application(s) offered by HomeTeamNS.
  • 8.2 These cookies help us monitor website traffic, make our website and/or application(s) run more efficiently, improve your user experience, tell us whether you have accessed or use our websites and/or application(s) before or whether you are a new visitor or new user. They can also help to ensure that the advertising you see is more catered to you and your interests and allow us to improve our products, services, websites, and applications that we provide. Most web browsers or device settings allow you to refuse or block cookies and you would be able to find these settings in the “Settings” or “Preferences” menu of your web browser.

9. Disclosure of your Personal Data

  • 9.1 In carrying out the purposes stated above, only where necessary HomeTeamNS may disclose to and/or transfer your Personal Data to the following third parties:
  • 9.1.1 Regulators, judicial authorities and law enforcement agencies where required by applicable law, or to comply with a legal obligation in compliance with the law, a court order, legal process, subpoena, or search warrant.
  • 9.1.2 Professional advisors appointed by HomeTeamNS including lawyers, bankers, auditors and insurers where it is reasonably necessary for the purposes of obtaining professional advice, managing risks, complying with our legal obligations, as part of audit processes, compliance reviews, establishing, exercising or defending legal claims, manage disputes, and/or to protect our rights or comply with legal requirements.
  • 9.1.3 Third party service providers (such as payment service provider(s), SMS or messaging provider(s), and data storage provider(s)), partners, agents or subcontractors appointed by HomeTeamNS for the provision of goods and services on behalf of HomeTeamNS.
  • 9.2 For Home Team NSFs and NSMen, we may also share or disclose your Personal Data to the applicable Home Team Agencies and/or the Ministry of Home Affairs for the purposes of verifying your identity, membership eligibility and status, redemption of NS Recognition Packages and complimentary memberships and/or management of your HomeTeamNS membership.
  • 9.3 For candidates and employees who have applied for positions with HomeTeamNS, with your consent, we may also share or disclose your Personal Data to vendors for the purposes of pre-employment screening, verification, and background check services as part of the recruitment process.
  • 9.4 We strive to ensure that such third parties secure and protect your Personal Data from unauthorised access, collection, use, or disclosure and to only retain such Personal Data for as long as it is needed to carry out the purposes stated above.

10. Transfer of your Personal Data

  • 10.1 As some of our service providers are located overseas, at times we may need to transfer some of your Personal Data outside of Singapore. We will take reasonable steps to ensure that the Personal Data transferred is adequately protected before doing so.

11. Protecting Your Personal Data

  • 11.1 We maintain appropriate and reasonable measures through physical, organisational, and technical safeguards and practices to preserve and protect your Personal Data. We will not knowingly allow access to this data to anyone outside HomeTeamNS, other than to you or your authorised representative(s) or as described in this Policy.
  • 11.2 You should be aware, however, that no method of transmission over the Internet or method of electronic storage is completely secure. While security cannot be guaranteed, we strive to protect the security of your information and are constantly reviewing and enhancing our information security measures.

12. Accuracy Of Your Personal Data

  • 12.1 You undertake that you will provide accurate and complete Personal Data to us. We encourage you to contact us as soon as possible to enable us to update any Personal Data we have about you. Incomplete or outdated Personal Data may result in our inability or delay to provide you with products and services you have requested.

13. Access and Correction of Personal Data

  • 13.1 In accordance with the PDPA, you have the right to:
  • 13.1.1 check whether HomeTeamNS holds any Personal Data relating to you and, if so, obtain copies of such data
  • 13.1.2 require HomeTeamNS to correct any Personal Data relating to you which is inaccurate for the purpose for which it is being used
  • 13.2 We reserve the right to charge a reasonable administrative fee in order to meet your requests. Upon payment of the fee, your request shall be processed within 30 days where practicable. To request for access and correction of personal data please submit this form to dpo@hometeamns.sg.

14. Withdrawal of Consent

  • 14.1 Should you wish to withdraw your consent for process of your Personal Data for any of the purposes, you may submit this form to dpo@hometeamns.sg. Your request shall be processed within 30 days. Please note that should you withdraw your consent; we will no longer be able to provide you with the services for which the consent was given for.

15. Storage and Retention of Personal Data

  • 15.1 We retain your personal data for as long as it is necessary to fulfil the purpose for which it was collected, or as required or permitted by applicable laws. We will cease to retain your Personal Data, or remove the means by which the data can be associated with you such as by anonymizing the data, as soon as it is reasonable to assume that such retention of your Personal Data no longer serves the purpose for which it was collected, and is no longer necessary for legal or our business purposes.

16. Third-party links and content

  • 16.1 This Policy only applies to the collection and use of Personal Data by HomeTeamNS. It does not cover third-party sites to which we provide links, even if such sites are linked from our website, or application, or co-branded with our logo. HomeTeamNS does not have control over and therefore is not responsible for the privacy practices of these third-party sites. Users are encouraged to read the respective privacy policies of such third parties to find out about their data protection practices.

17. Changes to this policy

  • 17.1 We may amend or modify this Policy from time to time, such as in response to legislation. We will post any amended Policy on this website. We encourage you to look at these terms regularly. If you do not agree to the amended terms, you should inform us as soon as possible of the terms to which you do not consent. Pending such notice, please be informed that the additional terms will prevail to the extent of the inconsistency between these terms and additional terms, if any.
